The FreeBSD Foundation is seeking an Administration Manager to oversee essential operational, financial, donor, and administrative functions that keep our nonprofit working efficiently and effectively.
What You Will Do
As the Administration Manager, you will oversee and execute the Foundation’s core administrative operations. You will work closely with the Executive Director, Deputy Director, accounting team, staff, and community members to ensure accuracy, organization, and smooth workflows across all day-to-day activities. Your work helps sustain the Foundation’s mission and supports the wider FreeBSD community.
Your responsibilities will include:
Financial & Accounting Administration
- Managing accounts payable and receivable.
- Coordinating with accounting and external tax professionals on filings, compliance, and reporting.
- Filing state charity registrations and other required regulatory documents.
- Verifying expenses and ensuring accurate financial record-keeping.
- Managing invoices, bill payments, and necessary financial documentation.
- Depositing checks and maintaining donation/payment tracking.
Donor & Constituent Management
- Logging online, wired, and check donations into Salesforce.
- Preparing and sending donor thank-you letters.
- Running donor reports and issuing invoices to large donors.
- Communicating with donors and responding to constituent inquiries.
Travel Grant Program Oversight
- Reviewing and processing incoming travel grant applications.
- Coordinating approvals with leadership.
- Communicating with grant recipients throughout the process.
- Processing expense reports and issuing reimbursements/payments.
Human Resources Support
- Assisting with employee onboarding and benefits administration.
- Working closely with the Executive Director and Deputy Director on HR processes.
Document & Records Management
- Organizing and maintaining company policies, handbooks, legal documents, and internal files in Dropbox.
- Managing the Foundation’s hardware inventory, including tracking purchases, maintaining asset lists, and creating asset tags.
Legal & Trademark Coordination
- Managing incoming trademark permission requests.
- Creating contracts from existing templates.
- Assisting with review of contracts, licenses, NDAs, and MoUs.
General Operations & Administrative Support
- Coordinating domestic and international travel arrangements.
- Processing travel reimbursements and expense submissions.
- Fielding general calls and emails received by the Foundation.
- Supporting communication with community members, partners, and donors.
- Completing administrative and operational tasks as assigned to support the Foundation’s mission.
What You Will Bring
- A bachelor’s degree in a related field or equivalent professional experience.
- 3–5 years of experience in administration, operations, nonprofit support, HR coordination, or financial administration.
- Experience working with accounting workflows; Salesforce proficiency is a plus.
- Excellent organizational skills and exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive financial, donor, and HR information professionally.
- Proficiency with digital tools including Dropbox, Google Workspace, and online payroll/benefits systems.
- Ability to manage multiple projects and deadlines with minimal supervision.
- A collaborative, team-oriented mindset and commitment to supporting the FreeBSD Foundation’s mission.
Salary
The actual base salary will depend on various factors, including geographic location, qualifications, relevant experience, and skillset.
In compliance with Colorado’s Equal Pay for Equal Work Act (EPEWA), we are disclosing the salary range for roles that could be performed in Colorado.
If performed in Colorado as a full-time position, this position has a salary range of $57,000-$67,000.
